For institutions

Run your whole English program on one platform.

From the day a student is registered at the desk to the day they move up a level, Dersify keeps your program’s structure, people and records in one place — under your institution’s own name.

Who it’s for

Built for the way your institution is organised.

Dersify records what kind of institution you are, instead of assuming. The structure adapts; the learning experience stays the same.

Universities

Students belong to faculties and departments. Registrars record both at the desk, the Student ID is required, and the student list can be filtered by either.

  • Faculties and departments
  • Student ID on every record
  • Filter and search by faculty

Language institutes

A simpler structure with no faculties or departments anywhere, and an optional Student ID — so the desk only asks for what you use.

  • No academic structure to maintain
  • Optional Student ID
  • The same learning experience

The shape of a program

Terms, cohorts and classes, organised by your team.

Administrators and registrars set up each period in Dersify itself: the terms, the cohorts within them and the classes learners join. Instructors are assigned to the classes they teach, and each assignment is recorded.

01

Periods and terms

Plan the academic year in the periods your program actually uses.

02

Cohorts and classes

Group learners by level and intake, then into the classes they attend.

03

Instructor assignment

Assign an instructor, or a lead instructor, to each class — with a start date and an optional end.

Registration desk

Register each student with care, one at a time.

Students are registered at the desk once their fees are cleared. The registrar records who they are, where they start and why — so placement decisions can be understood later.

Fee clearance, recorded by a person

Fees are marked Verified, or Waived with a reason. Students who haven’t paid aren’t registered.

A placement basis for every level

The registrar chooses the starting level and records the basis for it. Overrides need a reason.

No temporary passwords

The desk creates an invited account. The student chooses their own password when they claim it.

Secure access

From the desk to the first lesson, without a shared password.

Each enrolment comes with an access guide and a claim code. The student uses it to create their own account with an email address they verify.

  1. 1

    Registered

The desk enrols the student and an access guide is produced.

  2. 2

    Delivered

The guide is printed at the desk, or sent by WhatsApp from your institution’s own number once it is connected through the official Cloud API.

  3. 3

    Claimed

The student signs up with their own email, verifies it, and enters the code.

  4. 4

    Learning

Their program, level and class are ready the moment they arrive.

  • One code per enrolment
  • Single use, valid for 14 days
  • Revocable and replaceable
  • Never stored in plain text

Roles and permissions

Everyone sees what their work needs — and nothing more.

Each person works in a space designed for their role. Permissions are enforced by the platform on every request, not just hidden in the interface.

  • Admin

    Administrator

Configures programs, levels, terms, assessment and settings, and confirms progression.

  • Registration desk

    Registrar

Registers students, records fees and placement, and manages access codes.

  • Instructor OS

    Instructor

Teaches classes, reviews work, records results and recommends who moves on.

  • Dersify Studio

    Curriculum editor

Drafts curriculum, including with AI, and reviews work produced by others.

  • Dersify Studio

    Curriculum lead

Everything an editor can do, plus opening workspaces and publishing releases to learners.

  • My learning

    Learner

Studies in the Digital Book, completes coursework and follows their progress.

Assessment and progression

Results that people release, promotions that people confirm.

Administrators set up how each cohort is assessed. Instructors record and release results in the gradebook. Moving up a level is never automatic.

  1. 1

    Assessment set-up

Define the grade items and schemes each cohort is assessed by.

  2. 2

    Gradebook

Instructors record marks and release them when they’re ready.

  3. 3

    Recommendation

Once a learner’s final result is released, their instructor recommends moving on or repeating.

  4. 4

    Confirmation

An administrator confirms, and the learner’s next enrolment is prepared for the desk to activate.

Curriculum governance

AI drafts. Your curriculum team decides.

Dersify Studio lets a small curriculum team produce and maintain a level. AI generation runs in approved stages, and every unit is reviewed before it can be released.

01

Staged generation

A level is built step by step — brief, learner profile and blueprint, then units one at a time — each approved before the next begins.

02

No one approves their own work

Whoever generated or edited a revision cannot approve it. The rule follows the person, not the role.

03

Releases with checks

Missing content, broken media and gaps in outcome coverage block a release. AI quality checks inform reviewers but never count as approval.

Your own address

Your learners sign in at your institution.

Each institution has its own Dersify address. The sign-in pages carry your name, logo and colour, a welcome message and your support contact.

  • Your name and logo
  • Your brand colour
  • Your welcome message
  • Your support contact

Records and boundaries

Clear records. Clear limits.

01

Audit history

Important changes — from a faculty correction at the desk to an instructor assignment — are recorded with who made them and when.

02

Each institution’s data stays its own

Dersify is built for many institutions, and each one’s learners, staff and records are kept separate.

03

Learner AI conversations stay private

Instructors and administrators never see what a learner asks Ask Dersify.

04

Private notes stay private

An instructor’s notes are visible only to their author and never count as evidence.

How a pilot works

Start with one program, then decide together.

We prefer to begin small and learn from real classes. A typical pilot follows four steps; the details depend on your program.

  1. 01

    Conversation

We learn about your learners, levels, calendar and goals, and show you Dersify in that context.

  2. 02

    Configuration

Your address, programs, levels, terms and staff are set up, and your team is shown how to use them.

  3. 03

    Pilot term

Learners and instructors use Dersify in real classes, with support from our team.

  4. 04

    Review

We look at what worked and what didn’t, and agree on the next step together.

Let’s talk about your program.

Tell us about your institution and what you would like English learning to look like. We’ll be in touch to arrange a conversation.
